They are a small, dedicated team that values professionalism, care, and integrity in everything they do. Alongside Waitikiri Gardens, the director operates a second business, and this role will provide essential support across both organisations.
The Role
We are seeking a highly organised and proactive Office Manager / Executive Assistant to support the General Manager and departmental leaders. This is a dynamic role where no two days are the same — you'll be helping implement and manage systems, improving processes, and ensuring smooth daily operations across both businesses.
This role is based in Rangiora with weekly travel to Prebbleton. Full-time or part-time (minimum 30 hours), Monday to Friday.
Your responsibilities will include:
- Assisting GM with administration, planning, and task prioritisation.
- Managing customer and supplier relationships, reception, and call handling.
- Maintaining inventory systems (Unleashed, Kanban).
- Supporting marketing through Trade Me listings, website updates, and social media.
- Documenting SOPs and managing processes via SharePoint.
- Handling records: KPIs, employee hours, POs, and invoices.
- Coordinating vehicle and machinery maintenance.
- Recording customer interactions in CRMs (Pipedrive, Hubspot) and supporting sales communications.
About You
We're looking for someone with strong organisational and communication skills who thrives in a fast-paced environment and can adapt to varied tasks.
What will you need to succeed?
- Proven experience as an Administrator, coordinator or Executive Assistant.
- Proficiency with IT and office applications (Office 365 essential).
- Experience with inventory management systems (Unleashed preferred) and CRM platforms (Pipedrive / Hubspot ideal).
- Strong problem-solving skills and the ability to work under pressure.
- Excellent written and verbal communication skills.
- Professionalism in dealing with staff, customers, and suppliers — even in challenging situations.
- A positive, trustworthy, and motivated approach.
- Ability to motivate others and contribute to a supportive team culture.
